JOB DESCRIPTION

Position: Office Manager / Administrative Assistant / Executive Assistant

Position Description: Act as primary representative for the company for incoming callers and clients. Support and assist with the administrative requirements of company personnel. Oversee the general operations of the office. Work closely with CEO of the company regarding various personal and business needs. This position is located in our Delhi, NY office.

  • Have a basic understanding of our core business activity
  • Have a basic understanding of the entertainment industry and its pertinent players
  • Maintain a working knowledge of standard business software packages used by Indiepay

Duties – Office Manager / Administrative Assistant

  • Receptionist duties for Indiepay operations, including: greet visitors for appointments; answer phones and take voice messages; direct callers with general questions to the correct person; sort and distribute daily mail; accept and prepare packages for overnight courier
  • Maintain daily visitor and messenger logs at front desk, keeping a complete and accurate historical file available for review if requested
  • Assist and support staff with general administrative duties including distribution and sending of faxes; scanning and archiving of various paperwork; assisting with the filing and organizing of payroll records; and copying when requested
  • Assist and support the document scanning department for record archiving purposes
  • Monitor the inventory of office supplies and coordinate orders when required
  • Keep common areas of office neat and organized including reception and kitchen areas. Coordinate scheduling and contractors and building management staff as needed
  • Report to management, requests relayed through daily contact with staff
  • Manage and maintain vendor relationships – approval of AP bills such as Electric, Telephone, etc.
  • Assist HR with various personnel issues such as attendance, complaints, etc.
  • Liaise with HR Department Head at Main Head Quarters in NYC.
  • Petty Cash responsibility for minor purchases of office needs

Duties – Executive Assistant

  • Support the CEO with various professional and personal tasks
  • Tasks could include: errands, research, telephone calls, scheduling meetings, managing CEO’s calendar and contacts
  • Discretion and Confidentiality a must
